This is a guide for shops, job sites, and rural operations who have a “laptop graveyard”, and are tired of replacing computers that aren’t robust enough. Good news. There may be a technology infrastructure more suited to your environment.
For most city businesses, laptops are great. You buy one ready installed, you hand it to your employee, they start their job.
But then there are the businesses where laptops don’t work.
We’ve put together the patterns we see over and over again after 20 years of setting up IT for companies across Western Canada.
Thin Client? IT jargon explained.
You may have heard about “remote desktop services”, “thin clients”, “VDI”, “VDS” or “virtual desktops.” Virtual Desktop Infrastructure (VDI) is complex from a technology perspective, but the computer user’s day-to-day experience can be much the same as it’s always been.
Think of a thin client like using a TV remote. The remote lets you control the television from the other side of the room.
A virtual desktop works on the same basic idea: the thin client (or another device on your desk) gives you access to your personal computer workspace. You work with a standard monitor, mouse and keyboard. But the actual computing is happening on a powerful server in a secure server room rather than on the device sitting on your desk.
You log in, and your familiar desktop appears with your applications, files and settings. If remote access is enabled, you can log out at the office, log in from home, and continue working with the same desktop.
Thin clients are small, purpose-built devices designed to connect users to virtual desktops. They don’t need the processing power of a full PC because the actual computing is happening on the server. But thin clients aren’t the only way to access a virtual desktop. Depending on the system, you can use a regular PC, laptop, Chromebook, tablet or smartphone to connect to it.
Where do virtual desktops with thin clients work well?
1. Is your environment is rough on sensitive equipment?
If your team works anywhere near a shop floor, a job site, a warehouse, a mill, or a plant, you already know the answer to this question.
Laptops have fans. Fans suck in air. Air in your building carries sawdust, metal shavings, flour, grain dust, humidity, diesel particulate, or whatever else is floating around your operation. That stuff gets pulled into the laptop, coats the insides, clogs the fan, overheats the processor, and kills the machine. Usually in about 18 months, sometimes faster.
Real examples
- CNC machine shops and fabrication: Metal shavings and coolant mist get into everything.
- Sawmills and wood processing: Sawdust is fine and it gets inside a laptop chassis within weeks.
- Mining and oil & gas site offices: The admin trailers at a construction site or a mine are dusty, they vibrate when heavy equipment rolls by, and the temperature swings from -30°C to +30°C.
- Food processing and agriculture: Flour dust, grain dust, moisture, wash-down environments.
- Warehousing and logistics: Forklift vibration, concrete dust, temperature extremes.
Why the thin clients work better here
They have no fans. No moving parts. No air intake. They’re essentially sealed plastic or aluminum bricks. Dust doesn’t bother them. Vibration doesn’t bother them. If one does somehow get destroyed — say a forklift backs into a desk — you’re out $300–$500, not $1,500. And because all the data and software lives on the main computer down the hall, the replacement is plug-and-play. Five minutes and the worker is back to exactly where they left off.
2. Is your internet line is unreliable?
The big tech companies are telling about the joys of “the cloud.” Cloud email, cloud accounting, cloud desktops, cloud AI. Which is great if you have a fat, reliable fibre connection in downtown Calgary or Vancouver.
Outside the metro areas, the internet in a lot of Western Canada is bad. If your office is in a small town or an industrial park on the outskirts of a city, you probably have one — maybe two — options for internet service. Telus. Rogers. Bell. Long hold times, missed appointments, “a technician will be out in 5 to 7 business days.” And you’re paying 40 people to sit there and wait for Telus to fix something.
Why the on-site setup works better here
Remember the “one powerful server”? That servers is in your building. It’s connected to the thin clients by the network cables in your walls. So even if the internet is down, and your email isn’t working, your team is working at full speed on your internal systems — your ERP, your order processing, your file server, your production software. They never leave the building.
This is the single biggest reason our clients in rural Alberta, northern BC, and the Saskatchewan prairies choose this setup.
They’re staying operational when the weather takes out the phone lines. And that independence also gives data sovereignty.
3. Do your staff numbers go up and down?
Scaling is typical for a ski resort, a hotel, a campground, a harvest operation, a tax preparation firm, a tourism company, or a construction outfit.
Every time you hire someone, you need to buy or re-image a laptop, set up their accounts, install your software, and hope they don’t spill coffee on it. Every time someone leaves, you need to get the laptop back, wipe it, make sure they didn’t copy your client list onto a USB drive, and store it until next season.
The problem isn’t just about logistics, it’s security.
Why the thin clients work better here
Thin clients have no files, customer data or software. It’s a blank screen that connects to the main computer. When your seasonal worker logs in, they see their desktop. When they log out, the screen goes blank. If they walk out the door with the box under their jacket, they’ve stolen a $300 piece of plastic that is completely useless to them and contains zero company information.
Onboarding takes 30 minutes. You create their account on the main computer. Offboarding takes minutes. You disable their login, and they can’t access anything — even if they’re still sitting at the desk.
Hot-desking becomes easy, too. If you have 30 seasonal staff but only 15 desks, it doesn’t matter. Any worker can sit at any desk, log in, and their personal desktop appears. When they leave, the next person sits down, logs in, and sees their own stuff. No “whose laptop is this?” confusion.
When doesn’t this infrustructure work?
Here are the situations where you should stick with laptops or a different approach:
- Your entire team works from home. If everyone is remote, cloud-based solutions are a better fit.
- You have fewer than about 10 employees. The cost of setting up the main server doesn’t work at a very small scale.
- Your team does heavy video editing, 3D animation, or graphic design. These jobs need powerful graphics cards right at the desk.
- Your people work in the field, in trucks, or at client sites. Thin clients need a network and an on-premises server
- You’re a startup. Investing in server infrastructure is a long-term play.
